POSITION OVERVIEW:

Under general supervision, provides administrative support to the Human Resources department to ensure the accurate and timely processing of personnel information and provides a high level of service to management, employees and applicants.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  1. Checking employment applications for completeness and checking employment references.

  2. Processing applicants for employment, including initiating the background investigation and scheduling the pre-employment physicals for applicants.

  3. Setting up files for new employees and maintaining personnel records reflecting changes in employee status, filing of performance appraisals, job descriptions, and other related documentation.

  4. Performing minor statistical calculations to respond to salary surveys and EEO reporting.

  5. Generating and distributing routine reports, such as Employee Compliment Report, employee turnover, and other Key Performance Indicators (KPIs).

  6. Reviewing and auditing forms relating to group insurance, medical, dental, life, 401K and other related benefits for accuracy and completeness for enrollment and timely payment to carriers and third party administrators.

  7. Responding to Unemployment Insurance claims in a timely manner.

  8. Maintaining employee benefit records and prepares required reports.

  9. Entering data from confidential employee records in HRIS system.

  10. Reviewing documents for accuracy and completeness and verifying output.

  11. Generating and distributing a variety of standard reports and statistical summaries regarding employee data.

QUALIFICATIONS, SKILLS, EXPERIENCE:

  1. Knowledge of general administrative functions, including record keeping & filing, correspondence. and business etiquette generally acquired through one to three years of related experience.

  2. Ability to communicate effectively and comprehend instructions given in English, generally acquired with a minimum of a High School Diploma.

  3. Working knowledge of office computer applications, including Excel, Word and Outlook, acquired through either training or experience.

  4. Knowledge of Federal and California employment laws.

  5. General knowledge of HRIS systems, ADP’s PayeXpert and Report Writer preferred.

  6. Familiarity with PowerPoint.

  7. Bilingual in English and Spanish or Tagalog.

Salary $28.00 per hour
